Position Overview

The Senior Administrative Assistant is responsible for providing exceptional administrative support to the Vice President and members of the Human Resources (HR) team; ensuring day to day operations run smoothly and efficiently; and appropriately representing the office as an ambassador of CR and HR to staff at all levels, board members, visitors, candidates for open positions, vendors, etc.

Qualifications Include

Essentials include an ability to independently manage multiple priorities and react to last minute changes, a high level of discretion with highly sensitive, confidential information, a positive, service-oriented mindset and willingness to pitch in where and when needed, a high level of professionalism and diplomacy as well as exceptional judgment.  

The ideal candidate will have a minimum of 10 years experience in general administrative support, 5 years of which working with senior executives. Advanced computer skills required, with a strong preference for experience using Concur, Oracle, Excel, and Google office applications.


Key Responsibilities

  • Manages daily administrative tasks for VP, allowing for the smooth and orderly handling of communications, events, and schedules:
    • Prioritizes and schedules meetings and events; prepare meeting notices, reserve meeting rooms, and arrange A/V equipment and catering as necessary
    • Manages and maintains the VP’s busy calendar.
    • Collaborates with other Senior Administrative Assistants to help facilitate forward planning and prioritization of meetings and activities
    • Coordinates distribution of company-wide communications.
    • Processes incoming mail and email
    • Maintains documents and files
    • Coordinates travel, including airline and hotel reservations
    • Prepares expense reports using Concur, ensuring compliance with T&E policy


  • Develops, monitors and tracks the annual HR operating budget and quarterly re-forecasts.  Works closely with the Finance liaison, and each member of the HR leadership team to develop unit budget submissions and projections; produces ad-hoc reports and updates on budget data.


  • Coordinates and manages various company-wide meetings/events (coffee with the CEO, Lunch and Learns, division roadmap sessions, etc.) partnering with vendors, facilities, and team members, as necessary.


  • Supports the successful running of the HR office and teams by:
    • Administering department timekeeping
    • Preparing expense reports; managing invoices
    • Procuring supplies and materials
    • Managing invoices related to HR legal budget
    • Supporting onboarding activities for new hires
    • Handling communications with CR’s leadership regarding hires and exits
    • Providing administrative and logistical support to the creation, distribution, and revision of company policies and procedure
    • Providing ongoing organization (scanning, indexing etc) of files related to employee relations issues, and updating labor relations records
